AI for Law Firms: Secure, Practical AI Implementation

Curious about AI, but nervous about getting it wrong?

AI for law firms works when it’s secure, fits how you work, and lines up with your law society or Bar Association guidance. We help your firm choose those tools and set them up safely. Then we train your team so the time savings are real.

What does AI implementation for a law firm include?

AI implementation for a law firm is the work of choosing, securing and rolling out AI tools so they save your team time without putting client confidentiality at risk. It usually covers five things:

  • A readiness check of your policy, data, current tools, workflows and people
  • A short AI policy your team can actually follow
  • Tool selection and security review against the same criteria for every vendor
  • A small pilot on one or two real tasks, with a human review step
  • Training and measurement, so you know whether it worked before you expand

The free AI readiness assessment is step one.

Everyone says “use AI.” Nobody tells you how.

  • Some of your team are probably already pasting work into ChatGPT. You don’t know what.
  • You’ve seen the headlines about lawyers citing cases that don’t exist.
  • Every vendor is pitching AI features, and you can’t tell what’s worth paying for.
  • You’d love to get hours back on drafting, intake and time entry, but nobody has time to figure it out.

Feeling cautious isn’t falling behind. It’s the right instinct. You just need a safe way to start.

5 steps from “where do we start?” to time saved

  • 1. Free AI readiness assessment. A short questionnaire and a call. You get a snapshot of where your firm stands, including how ready your people and operations are, and your top opportunities. See what’s included
  • 2. AI audit. We find where AI is already in use (approved or not), which workflows have the most to gain, which AI features you already pay for, and where your confidentiality gaps are.
  • 3. Tool matching. We shortlist tools that fit your workflows and budget and meet your security requirements. We check terms of use, data retention, whether your data trains the model, hosting location (including Canadian data residency), access controls and audit trails. Sometimes the best option is a feature you already own. We’re a certified Clio consultant, a LEAP certified consultant and a certified Actionstep Legal Financial Management consultant, and we’re an Actionstep partner. That experience helps us set up the tools you choose, but we compare every option, whichever vendor it comes from, on the same criteria.
  • 4. Policy and governance. A clear firm AI policy and approved-tools list covering what can be entered, how outputs are verified, client communication and billing, written around the guidance that applies to you.
  • 5. Implementation and training. Setup, integration with your practice management system (Clio, Actionstep, LEAP and others), prompt libraries for your practice areas, and plain-English training for lawyers, assistants and accounting. Then we measure time saved against your baseline.

It’s about your people, not just your software

AI only saves time if your team actually uses it. So we look at organizational and operational readiness as well as tools:

  • People: how your team feels about AI, from enthusiasm and curiosity to worry, resistance and change fatigue
  • Structure: who owns AI at your firm, who decides, and whether your partners are on board
  • Tech comfort: how confident each role is with new tools, and what training they need
  • Change capacity: how much room your team has after recent changes
  • Operations: whether your workflows, roles and handoffs are documented well enough to try something new

Our free assessment starts with these questions, and training is part of implementation.

Built around your regulator’s guidance

  • US: ABA Formal Opinion 512 (2024) on competence, confidentiality, communication, supervision, candor and fees, plus state guidance such as the State Bar of California’s Practical Guidance (updated 2026), Florida Bar Opinion 24-1, Texas Opinion 705 and New York (NYSBA Task Force report; NYC Bar Op. 2024-5).
  • Canada: the technological-competence duty in the FLSC Model Code and provincial codes; the Law Society of Ontario’s generative AI white paper and professional-obligations guide; the Law Society of BC’s generative AI guidance; and the Law Society of Alberta’s Generative AI Playbook. We also cover court practice directions on AI in filings, such as the Federal Court’s notice.

We’re operations and technology consultants, not your ethics counsel. For specific ethics questions, contact your law society or Bar Association’s practice advisors.

Where AI can give your team hours back

  • First drafts of letters, emails and routine documents (always reviewed by a lawyer)
  • Summaries of long documents, transcripts and email chains
  • Intake and conflict-check support
  • Time entry capture and billing narratives
  • Research in legal-specific tools, with every citation verified
  • Searching your own precedents and know-how

Why firms trust us with AI

  • Operations first. We fix the workflow, then add AI, so you’re not automating a mess.
  • We know your core systems. Certified Clio, LEAP and Actionstep Legal Financial Management consultants, and an Actionstep partner.
  • Over 70 law firms. We work with law firms in every province and territory across Canada and throughout the United States.
  • No hype. Plain-English training for teams that are nervous about AI.

Frequently asked questions about AI for law firms

We don’t know where to start. Is that normal?

Completely. Most firms we talk to are curious and cautious. That’s why step one is a free assessment, not a sales pitch.

Is it safe to use AI with client information?

It depends on the tool and its settings. Consumer versions of some tools may keep your inputs or use them for training. ABA Opinion 512 and Canadian law society guidance both stress assessing confidentiality risk and, in some situations, getting informed client consent. We help you choose tools and settings that protect your clients.

Do we have to tell clients we use AI?

It depends on your jurisdiction, the tool and the task. ABA 512 discusses when informed consent is required, and the LSO white paper lists factors to weigh. We build a client-communication approach into your policy.

Can we bill for AI-assisted work?

Guidance such as ABA 512 and Texas Opinion 705 says hourly billing must reflect actual time, not time saved. We help you think through hourly, flat-fee and disbursement approaches.

Will AI replace our staff?

The goal is taking low-value work off your team’s plate so they can focus on clients. You decide how to use the time.

What does it cost?

The readiness assessment is free, with no obligation. After that, no two firms are alike, so every engagement is scoped to your firm after a conversation about your size, systems, practice areas and goals. We don’t publish a price list because a one-size-fits-all package wouldn’t fit you.

What law firms say about working with us

  • Celene is a magician! I run a law firm that had a lot of growth in a short period and needed big help to get its systems in place – but with no staff capacity to really do it. Celene and her team swept in donning capes and smiles and made short work of it.

Highly recommended if you need systems but don’t know where to start!
