AI for your firm: Part 8 of 8. A short series for law firm leaders on getting AI right, from the risks you can’t see to the policy, tools and plan that fix them.
Quick answer: A law firm AI audit is a deeper review of which AI tools your team uses, on which files and under what rules, plus your data, workflows and your team’s readiness for change. Most firms should start with the free AI readiness snapshot. A full audit makes sense when you can’t say what’s already in use, a client, insurer or regulator has asked, you’re about to buy AI, or you’ve had a scare.
You’ve read about shadow AI. You’ve thought about a policy. You have a feeling that people at your firm are already using AI, and you couldn’t say with confidence which tools, on which files.
That’s the moment people start asking about a law firm AI audit. And a fair worry follows: “Is that a big, expensive project when I’m not even sure I need one?”
It doesn’t have to start that way. There are two steps, and you may only need the first. This post explains the difference so you can pick the right one.
Two ways to find out where your firm stands
Step 1: The free AI readiness snapshot. A short questionnaire and a call. It gives you a picture of where your firm stands and your safest next steps. It’s free, with no obligation.
Step 2: The AI audit. A deeper review of how AI is actually used in your firm, which tools you already pay for, which workflows have the most to gain and where your confidentiality gaps are. Every audit is scoped to your firm after a conversation, because no two firms are alike.
Think of the snapshot as the first appointment and the audit as the full workup. You may find the snapshot is enough to decide what to do next. Some firms need to go further.
What the free AI readiness snapshot gives you
The snapshot uses a questionnaire and a conversation only. We don’t need access to your systems or client files. You walk away with seven things:
- A readiness snapshot across five areas: policy, data and security, current tools, workflows and people
- A shadow AI check: a confidential look at which AI tools your team may already be using
- Your top three opportunities to save time, ranked by effort and impact
- Your top risks to fix first, such as confidentiality, verification, client communication and billing
- Your guidance checklist: the regulator and court guidance that applies to you, like ABA Formal Opinion 512 plus your state Bar Association, or your provincial law society
- What you already own: AI features already inside your practice management and Microsoft 365 or Google tools
- A written summary of where your firm stands
It’s a good fit if you’re brand new to AI and a little nervous, already experimenting informally and want guardrails, or evaluating a specific product and want an independent opinion. It works for firms in every province and territory across Canada and throughout the United States.
What does a law firm AI audit include?
The snapshot tells you where you stand, based on what you tell us. The audit goes and looks.
Where the snapshot asks, the audit checks:
- Where AI is already in use, approved or not
- Which workflows have the most to gain
- Which AI features you already pay for, but may not be using
- Where your confidentiality gaps are
- How ready your people and operations are for change (see below)
Deeper reviews happen in the audit, under confidentiality terms. That’s why they sit outside the free snapshot.
The audit is also where the next steps start to become concrete: matching tools to your workflows and security requirements, then policy and governance, then implementation and training. Our AI for law firms page shows how the five steps fit together.
Operational and organizational readiness: the part software can’t fix
A tool can be secure, well chosen and affordable, and still go nowhere if your people aren’t ready for it. So a full audit looks at your firm as well as your software. We look at:
- How your people feel. Short, confidential staff interviews and a quick pulse survey show where there’s enthusiasm, worry, resistance and fatigue. Fear of being replaced, fear of making a mistake and plain tiredness after the last big change are all common, and all fixable once you know about them.
- Capacity for change. If you’ve recently migrated systems or changed how you work, your team may have little room for another project. We check what’s already on their plates and what’s realistic to try.
- Ownership and decision rights. Who owns AI at your firm? Who decides which tools are approved, who answers questions, and are the partners behind it? We map who decides, and we look for the champions who will help and the skeptics whose concerns are worth hearing.
- Skills and training. How comfortable are your lawyers, assistants and accounting team with new tools, and what training have they had? Gaps usually differ by role.
- A culture of verification and supervision. A policy only works if people check AI output and senior lawyers review it. We look at the habits behind the rules.
- Operational readiness. Are your workflows, roles and handoffs written down? Does anyone have the time to run a small pilot? Undocumented processes are hard to improve with AI or anything else.
You get practical recommendations for change management and training alongside the rest of your findings. Our post on the change management side of AI adoption goes deeper on the people side.
Snapshot vs. audit at a glance
| Free AI readiness snapshot | AI audit | |
|---|---|---|
| Based on | A questionnaire and a call | A deeper review of how AI is used in your firm |
| Access to your systems or client files | None | Deeper reviews happen under confidentiality terms |
| What you get | Readiness snapshot, shadow AI check, top three opportunities, top risks, guidance checklist, what you already own, written summary | Where AI is in use, workflows with the most to gain, AI features you already pay for, confidentiality gaps |
| Cost | Free, no obligation | Scoped to your firm after a conversation |
| Best when | You’re not sure where to start | You need facts, not impressions, before you decide |
🧠Not sure which one you need?
Start with the free snapshot. It takes a short questionnaire and a call, with no obligation.
Signs you need the full audit
Start with the snapshot. But these are signs that a deeper look is probably worth it:
- You can’t say what’s already in use. Your team’s answers are guesses, and you’re worried what the guesses are missing. Shadow AI is the usual reason.
- A client, insurer or regulator has asked. If someone has asked how your firm uses AI, you want a documented answer.
- You’re about to spend money on AI. Before you sign for a new tool, knowing which AI features you already pay for can save you from buying something twice.
- You’re a multi-office or multi-practice firm. More groups, more tools, more places for a gap.
- You’ve had a scare. Someone pasted client information into a public tool, or a document went out with an error nobody can explain.
- Your foundations feel shaky. Not sure your basics are in place? Read Is your law firm ready for AI? first.
The snapshot may be all you need if you’re just beginning, your firm is small and the main task is to write down rules and pick a first use case. In that case, go to How to implement AI in a law firm and What to put in your law firm AI policy.
If your concern is broader than AI, such as your practice management, billing or trust accounting workflows, our Law Firm Technology & Operations Audit covers AI readiness and shadow AI as one of its areas.
What an AI audit is not
A clear scope avoids disappointment.
- It isn’t legal or ethics advice. We’re operations and technology consultants. For ethics opinions, contact your law society or Bar Association’s practice advisors.
- It isn’t a cybersecurity audit. Our technology audit covers software and operations; for network and cybersecurity, we coordinate with your IT provider.
- It isn’t a sales pitch for software. We’re vendor-neutral consultants and we don’t sell AI software. We’re a certified Clio consultant, a LEAP certified consultant and a certified Actionstep Legal Financial Management consultant, and we’re an Actionstep partner. That experience helps us set up the tools you choose, but we review every tool, whichever vendor it comes from, on the same criteria.
FAQ
Is the AI audit different from the free snapshot?
Yes. The free snapshot is based on a questionnaire and a conversation. The audit is a deeper review under confidentiality terms.
Do we need the snapshot before an audit?
That’s the usual path. The snapshot helps us understand your firm, and then we talk through what, if anything, a deeper audit would cover for you.
Will you need to see client files?
Not for the snapshot. We use the questionnaire and a conversation only, and we don’t ask for client information. Deeper reviews happen in the audit, under confidentiality terms.
You don’t have to decide about an audit today. Our free AI readiness assessment gives you your top three opportunities, your top risks and the guidance that applies to you, so you can decide what to do next. We’ve worked with over 70 law firms across Canada and the US.
